Trách nhiệm công việc
  • Provide administrative support to the executives, including managing schedules, arranging appointments, coordinating travel arrangements, and organizing meetings and events. 
  • Handle correspondence, prepare reports, and maintain confidential files and documents.
  • Act as the primary point of contact for internal and external stakeholders, including employees, clients, board members, and other executives. 
  • Manage incoming and outgoing communications, screen phone calls and emails, and respond on behalf of the executives when necessary
  • Maintain the executives’ calendar, schedule appointments, and coordinate meetings. 
  • Support to prepare meeting agendas, take minutes, and ensure timely distribution of relevant materials. Coordinate logistics for meetings, including room reservations, and technology setup.
  • Consolidate data and create professional PowerPoint presentations to support executive communications and reporting
  • Build and maintain strong relationships with key stakeholders, both internal and external
  • Handle sensitive and confidential information with the utmost discretion and professionalism. Maintain a high level of confidentiality in all interactions and communications.
  • Serve as a liaison between the executives, managers, and departments within the organization. Coordinate and facilitate communication and collaboration across different teams and functions.
Yêu cầu
  • Degree holder with a minimum of 8 years of experience in secretarial or administrative roles, preferably within a large organization
  • Energetic, highly organized, and equipped with strong interpersonal and communication skills
  • Proven ability to manage calendars, schedule appointments, coordinate travel arrangements, and handle document management with discretion and confidentiality
  • Skilled in data consolidation and crafting professional PowerPoint presentations for executive-level reporting and meetings
  • Demonstrated capability to manage multiple priorities, meet tight deadlines, and coordinate complex schedules and events
  • Attention to detail and ability to multitask and perform effectively under pressure
  • Strong problem-solving mindset and excellent time management skills
  • Proficient in Microsoft Word, Excel, and PowerPoint
  • Excellent command of written and spoken Chinese, English, and Mandarin
